Privacy Policy

The short version. Kaiori stores the things it needs to plan your days and remember your progress — your account identity, your plan, your sessions — and nothing else. We do not sell your data, we do not run ads, and we do not track you across other apps or websites. You can ask us to delete everything at any time by emailing hi@kaiori.space.
This policy explains what the Kaiori Android app and the website at kaiori.space collect, why, and what your choices are. "Kaiori", "we" and "us" refer to the independent team that builds Kaiori. If anything here is unclear, ask us — we would rather rewrite a paragraph than have you guess.
1. What we collect
Account identity
Kaiori signs you in with Google. From that sign-in we receive your Google account identifier, your email address, and — if your Google profile has them — your display name and profile photo. We use this to know that today's plan belongs to you and to restore your progress after a reinstall or on a new phone. We never receive your Google password.
Things you create in the app
- Your onboarding answers and goals, which the 66-day engine uses to build a plan.
- Your daily plan and what you completed, skipped or moved.
- Focus sessions: when a session started, how long it ran, and which room you used.
- Reflections, notes and any text you type into the app.
- Your chosen companion, scarf, avatar and earned titles.
- Messages you send in a focus room, and your presence in that room while a session is running, so other people in the room can see that someone is there.
Technical data
- Device and app basics — app version, Android version, device model and language, so we can reproduce bugs you report.
- Crash and error information, when the app fails.
- Server logs for the website — IP address, user agent, and which page was requested — kept by our hosting provider for a short period as a normal part of serving and protecting the site.
Things we deliberately do not collect
- Your contacts, calendar, photos, SMS or call logs.
- Precise location. Kaiori has no reason to know where you are.
- Health data from other apps or wearables, unless we ask you first and you say yes.
- Advertising identifiers. There is no advertising SDK in Kaiori.
2. Why we collect it
- To run the product you asked for — building a plan, remembering your path, showing you presence in a focus room, telling your story back to you.
- To keep your progress safe across reinstalls and devices.
- To fix things — diagnosing crashes and bugs.
- To talk to you — early-access emails and, if you enable them, reminders. Notifications are optional and can be turned off in the app or in Android settings without losing anything else.
- To keep the service and other users safe — for example, acting on abuse in a shared focus room.
We do not use your data to build advertising profiles, and we do not sell or rent personal information to anyone. We also do not use your private reflections to train machine-learning models.
3. Who your data is shared with
Only the service providers that make the app work, and only to the extent they need:
- Google Firebase (Google LLC) — authentication, the cloud database that holds your plan and progress, and crash reporting.
- Vercel Inc. — hosting for kaiori.space, which produces the server logs described above.
- Formspree — only if you submit the early-access form on the website. It receives the email address you typed and passes it to us.
- Google Play — if you install through Play, Google handles the distribution and any future payments under its own privacy policy.
We may also disclose information if we are legally required to, or where it is necessary to protect someone's safety. If Kaiori is ever acquired, we will tell you before your data moves, and this policy will travel with it.
4. Where your data is stored
Kaiori's cloud data is stored on Google Cloud infrastructure, which may be located outside your country. By using Kaiori you accept that your information may be transferred to and processed in those locations, under the contractual protections those providers offer.
5. How long we keep it
We keep your account data for as long as your account exists, because that is the point — a path you can look back on is worthless if we throw it away. Crash logs and server logs are kept for a short period and then discarded. When you delete your account, we remove your personal data from our live systems promptly and from routine backups within 90 days, except where we are legally required to keep something longer.
6. Your rights and how to use them
Whatever jurisdiction you are in, we will honour these:
- Access — ask us for a copy of what we hold about you.
- Correction — have anything inaccurate fixed.
- Deletion — have your account and its data erased.
- Withdraw consent — turn off notifications, or stop using the app and ask us to delete it all.
- Object or restrict — tell us to stop a particular use.
Email hi@kaiori.space from the address on your account and we will action it within 30 days. There is no charge and no form to fill in. If you are unhappy with how we handled it, you can complain to your local data protection authority.
7. Security
Traffic to kaiori.space and to our backend is encrypted in transit with HTTPS. Access to production data is restricted to the people who need it. Database access rules are written so that your records are readable and writable only by your own signed-in account, with the deliberate exception of the presence and message data that a shared focus room needs in order to be shared at all.
No system is perfect. If you find a vulnerability, please tell us at hi@kaiori.space before telling anyone else — see security.txt. We will credit you if you want the credit.
8. Children
Kaiori is not directed at children under 13, and we do not knowingly collect their personal information. If you believe a child has created an account, contact us and we will delete it. Where local law sets a higher age of digital consent, that age applies instead.
9. Cookies and analytics
The website sets no advertising or tracking cookies and runs no third-party analytics. The only thing stored in your browser is a single local flag remembering that you already joined the early-access list, so we do not ask you twice. You can clear it at any time through your browser settings.
10. Changes to this policy
If we change this policy in a way that materially affects you, we will update the date at the top and notify you in the app or by email before it takes effect. We will not quietly broaden what we collect.
